Safety Measures 2021

More than ever, the safety of our attendees is of paramount importance and we have introduced a few protective measures this year to ensure that.

 

  • Attendees will need to provide proof that they are fully vaccinated against COVID-19 for admission to the Javits Center.
  • Attendees will be required to wear face masks throughout the event (when not eating or drinking). Masks will be available at the event.
  • There will be no paper agenda to reduce touchpoints. Session booking, the attendee list and the full agenda can instead be accessed via the event app.

Our parent company, Informa, has collaborated with government and local authorities, association and event partners, venues and contractors to develop industry-wide All Secure event guidelines, that raise the bar on safe, hygienic, productive and high-quality event experiences.

The AI Summit New York will operate according to these guidelines (as applicable to local regulations), as well as any and all safety measures recommended by the government and by the  Javits Center.

Deep cleaning throughout the event – working with venue partners to ensure the highest standards of hygiene and cleanliness.
The absolute highest standard of food safety and hygiene, minimising self-service buffets. If any queuing is anticipated, physical distancing will be advised.
Should it be necessary, we will work with local authorities to trace and contact participants at the event, subject to local privacy regulations.
Recommendation that attendees avoid physical contact. The exchange of printed materials, such as business cards and sales brochures, is discouraged, with digital alternatives recommended.
Density of attendees at any one time during the live event will be in line with local authority regulations and venue guidance.

Where will The AI Summit New York be held?

The AI Summit New York will take place December 8-9 at Javits Center.

Will social distancing measures be in place?

We will encourage attendees to maintain a reasonable distance wherever possible. Attendees can pick up a yellow wristband if they wish to make others aware they want to maintain social distancing.

Will I be required to wear a mask? Will medical exceptions be allowed?

Masks will be mandatory throughout the event in line with the requirements for entry to the Javits Center. Masks will be available to all attendees at no charge, but we encourage you to bring your own.

No medical exemptions will be allowed. Mask policy is subject to change, based on national, regional, and/or venue requirements at the time of the event. If you are unable to wear face coverings due to medical reasons, please contact Show Management prior to arrival.

Can you tell me more about hygiene and cleaning at the event? 

We are working with Javits Center to ensure deep and thorough cleaning takes place throughout the event. Hand sanitisers will be provided throughout the public areas of the venue and of course, we will recommend that all attendees wash their hands regularly. Do I need to be fully vaccinated against COVID-19 to attend the AI Summit New York? 

We will require all attendees to provide proof that they have been fully vaccinated against COVID-19 on arrival, before badge collection.

Do you have any other advice for attendees?

We are doing everything we can to ensure a safe environment onsite for our attendees. As such, we have some expectations of all participants in the event:

  • Individuals who are immunocompromised or at high risk are encouraged to attend virtually.
  • All event participants are expected to observe and engage in recognised preventive actions to help ensure a safe environment, including frequent hand washing.
  • Individuals should not attend the event if they have tested positive for COVID-19 within the last 14 days or if they are concerned that they have been exposed to the virus within the last 14 days and could possibly test positive.
  • Should an event participant test positive for COVID-19, register a temperature, or become ill during the event, he/she/they will be required to observe recognised quarantining procedures.

What happens if The AI Summit is forced to cancel the in-person event?

Currently, we are set to host a great in-person experience at the Javits Center. However, we all know from the last year that sometimes things are out of our control, so we are offering purchase protection on tickets.

If, for any reason, we are forced to cancel the in-person New York event, all paid passes will automatically convert to Virtual All Access Passes and the balance will be converted to credit towards a 2022 pass. Full or partial refunds may also be requested as an alternative (subject to a 6% processing fee).

What will be accepted as proof of vaccination?

For proof of vaccination, you will be required to provide the following:

(A) A government issued photo ID, and
(B) One of the following;

  • CDC Vaccination Card
    • A digital photo or photocopy of this card is also acceptable if all information required to confirm full vaccination status is visible/legible including vaccine type, name, and shot dates(s)
  • A digital/smart device application designed for the purpose of storing vaccination records, confirming full COVID-19 vaccination status that provides your name, vaccine type, and the date(s) of your vaccine shot(s). Some applications that can be used include the following:
    • NYC COVID Safe App: Android | iOS. You can upload to this app a photo of your CDC vaccination card or other official record, along with your photo ID.
    • CLEAR Health Pass: Android | iOS. You can use the digital vaccine card option in the CLEAR app if you are 18 and older and are fully vaccinated.
    • Excelsior Pass (or Excelsior Pass Plus). To use this app, you will need the phone number or email address associated with your New York vaccination record.
  •  A digital record stored on any state/county or healthcare provider supported vaccine record retention application
  • NYC Vaccination Record or other official immunization record, including from your health care provider
    • A digital photo or photocopy of this card is also acceptable. If you are unable to get this record, call 311.
  • International attendees should provide the accepted vaccination card/records and/or vaccination applications for their respective country, with all of the following information included (name, vaccine type, and shot dates.)

** There will be no exceptions to this requirement. Proof of a negative test result will not be sufficient for entry to the AI Summit, per the Javits Center requirements. **
